Admin Assistant – Action Against Hunger

Action Against Hunger is an international non-governmental, private, apolitical, non-religious and non-profit organization created in 1979. Its goal is to combat hunger and dangerous situations that threaten men, women and children. Currently 500 expats and more than 5,000 employees are working for Action Against Hunger in more than forty-six countries working in projects concerning four areas of focus: Nutrition, Food, Security and Livelihood, Water, Sanitation and Hygiene, Disaster Risk Reduction Management, Advocacy and Good Governance.

General Responsibilities:
Assist the Administrator in his administrative and financial duties

Objective 1: Under the supervision of the Capital Administrator, manage the capital cash

Tasks:
Check purchase approval and release required funds ;
Check and reimburse medical expenses;
Codify the invoices and apply them to the corresponding budget.
Enter advance requests in the advance book ;
Receive and check the eligibility of invoices submitted for payment (compliance with purchase voucher, required information) ;
Enter purchase invoices in cash book ;
Close the cash account every month : physical counting, printing of accounting documents, check supporting documents ;
Pay salary advances
Check and reimburse medical expenses
File invoices and HR documents
Propose possible improvements of the accounting advance procedures
Objective 2: Assist the Capital Administrator, especially in accounting activities

Tasks:
Organise and check the timely receipt of the bases’ monthly accounting
Check accounting document information, including consistency between vouches and cash books, physical counting and balances ;
Check the bases’ electronic accounting consistency : accounting codes, project codes, budget lines, titles ;
Check and ensure invoice eligibility ;
Check accounting voucher submissions (translation, numbering, layout) ;
Suggest amendments to be made in the event of errors to the Administrator or Chief Accountant
Request additional information from the bases, as needed
Check the bases’ IS accounting prior to including in the software
Provide the electronic file to the Administrator after importing and checking the bases’ accounting
Inform the Administrator of parameters to be added to the accounting system ;
Check with the HR manager that the personnel database is complete and validated.
Objective 3: File the invoices and assist in audit processes

Tasks:
Carry out the double filing of accounting vouchers on a monthly basis ;
Print and sort general ledgers per contract ; In co-operation with the Administrator, file previous accounting vouchers whose budget allotment has been changed

CONTRACT PACKAGE

QUALIFICATIONS:

University degree in Economics, Management, Business Management or Administration or related area.
Knowledge of Admin procedures, accounting and finance
A previous experience of at least 1 year in a similar position
A team player/builder with strong organizational, interpersonal and communication skill and able to perform under pressure
Skills in planning, general management, and organization. To be able to foresee risks and propose alternative solution in advance
Capacity to work autonomously but in close coordination with the line manager
Highly flexible and can easily adapt
Good English language in written and spoken is essential apart from Filipino
