Job Summary
The Administrative Assistant is responsible for providing administrative support to the Operations Manager to ensure efficient operation of the office. S/he will support the Operations Manager through a variety of tasks related to organization and communication. Communicate via phone and email ensuring that all administration tasks are completed accurately and delivered with high quality and in a timely manner.

Duties and Responsibilities
1. Assists and reports administratively and functionally to the Operations Manager.
2. Answers telephone, screens calls, transfer callers to voice mail, or take messages to facilitate communications and contacts.
3. Maintains knowledge of key clients and contacts.
4. Sets up and maintains files, materials, information, schedules and related data.
5. Maintains files, reports and related communications.
6. Provides travel support for Operations Manager, ensuring employee travel needs and competitive prices are met.
7. Researches and provides information materials, such as electronic data (Internet) for projects and special assignments.
8. Maintains calendars, contact databases, and appointments.
9. Sets up and arranges meetings, facilities and accommodations as required.
10.Writes and prepares letters, memos, e-mails, and reports in draft and final form.

Qualifications
1. Graduate of a 4 year course
2. Must have administrative or assistant experience
3. Knowledge of office management systems and procedures
4. Excellent time management skills and ability to multi-task and prioritize work
5. Attention to detail and problem solving skills
6. Excellent written and verbal communication skills
7. Proficiency in MS Office
